Vendor certificate of insurance (COI) readiness guide

A practical guide for HOA managers, contractors, and event planners who collect vendor certificates.

Use the checklist to organize certificate evidence, compare it with your team’s documented vendor requirements, and decide what needs follow-up. A certificate review is an evidence check; it does not confirm the insurer’s current policy status or make a legal coverage determination.

01 · Dates

Find and review each certificate expiration date

Start with the latest COI submitted for the vendor. Check that the named vendor is the one on the contract, then look at the effective and expiration dates listed for each relevant coverage line. Do not assume every line shares one date.

  • Record what the document shows.Save the listed dates with the certificate and note whether staff verification is complete. If a date is missing, unreadable, or tied to an older document, request a clear current copy.
  • Plan an upcoming-date follow-up.Assign an owner and a follow-up date. Ask the vendor for an updated COI and any required endorsements before the listed expiration date. Reminder emails can be enabled in Lanyrde for configured milestones.
  • Treat a past date as a prompt to act.Request current documents promptly. A date in the past is a follow-up signal; it does not by itself prove a policy was cancelled or is no longer in force.
  • Confirm current status when needed.Ask the vendor’s broker or insurer to confirm whether the policy is currently in force when the date is past, a renewal is unclear, or the work needs a current status check.

Lanyrde records reviewed certificate effective and expiration dates and can surface upcoming or past-date follow-up cues. Those cues are based on the dates recorded in the certificate; they are not live confirmation from an insurer.

02 · Coverage evidence

Compare listed coverage with your documented requirements

Use the requirement for this vendor and scope of work—not a generic industry checklist—as the comparison point. In Lanyrde, configure the requirement your team has documented, then review the certificate evidence against it.

  1. Compare 1

    Coverage type

Match each coverage type your written requirement names to the corresponding coverage shown on the certificate.

  2. Compare 2

    Limits

Compare the listed limit for the relevant coverage and limit type with the amount your team documented for this vendor.

  3. Compare 3

    Evidence and review state

Note whether the item is shown, missing, unclear, or still awaiting staff review. Keep the finding tied to the requirement and certificate reviewed.

If a type or limit is not shown, or appears below your documented requirement, record it as an evidence gap or question for follow-up. It is not a universal coverage rule or a conclusion about the policy. Ask the vendor for clarification or supporting documents, and involve the broker or insurer if the actual terms need confirmation.

Lanyrde compares reviewed certificate details, such as listed coverage types and limits, with requirements your team configures. It organizes evidence and flags items for review; it does not determine legal compliance or actual coverage.

03 · Endorsements

Check for required endorsements and wording

Begin with the endorsement names and wording, if any, in your contract or documented vendor requirements. Review the certificate and the supporting endorsement documents against those specific items.

  • Check whether each required endorsement is included in the submitted documents. If it is not present or the document is unclear, request the actual endorsement from the vendor or broker.
  • When your requirement specifies wording, compare the submitted wording with the requirement. Record an unclear or incomplete match for staff review instead of assuming that a certificate note changes policy terms.
  • Check additional-insured evidence only when your contract or documented requirements call for it. If required, review the supporting endorsement and wording for the named party and scope your requirement specifies. A checkbox or brief certificate entry alone may not answer the wording question; ask the broker or insurer when unsure.

Lanyrde can keep extracted endorsement details and wording-review findings alongside the configured requirement so staff can see what needs another look. A wording flag is a review cue, not a legal interpretation of the endorsement.

04 · Close the loop

Make the next step clear

For every upcoming date or evidence question, record the document reviewed, the requirement involved, the follow-up owner, and what would resolve the question. Keep the original finding visible until updated evidence has been reviewed.
